The River Run – Terms and Conditions
Event Rules & Guidelines
The following rules and guidelines are intended to ensure a safe and well-organised large-scale event, meet local government permit requirements, and comply with UK Athletics and International Association of Athletics Federations (IAAF) regulations for participant performance records and event liability.
All entry fees are non-refundable except where deferral is permitted (see below). The River Run reserves the right to refuse entry to anyone providing false information on their entry form, failing to make the required payment, or not meeting the stated entry requirements.
Participation
Each entrant must have their own My Details account to enter the event.
A valid email address is required for all entries. All correspondence will be via email. A separate email address for each participant is preferred but not required.
Your email address may be shared with official race photographers for the purpose of sending links to official race certificates and photos.
Each entrant is automatically subscribed to The River Run newsletter, which provides training plans and event information. Entrants may opt out at any time via the unsubscribe link in emails.
Minimum Age Requirements
Half Marathon: 18 years or older on event day.
Participants must agree to the disclaimer and T&Cs before participating. All participants take part at their own risk and must complete a disclaimer waiving all claims against The River Run and any party acting on its behalf.
Half Marathon registrants must be capable of completing the full distance within 4 hours.
By participating, entrants consent to the use of their names, footage, and photographs taken during the event to publicise any UKTC Ltd event.
Participant race number bibs are personal identifiers and cannot be exchanged, transferred, or sold except via the official transfer system before the transfer deadline. Unauthorised sale or transfer of entries will result in disqualification and/or a ban from future events.
All participants must provide full details of any health conditions or medications in their My Details account upon entry.
Refunds, Deferrals & Transfers
Refunds: All entry fees are non-refundable.
Deferrals: Participants unable to take part may defer their entry to the following year’s River Run, subject to:
A £5 administrative fee for all deferrals.
Requests must be made before the published deferral deadline.
Deferrals are valid for one year only and cannot be deferred again.
Deferred entries are non-transferable and non-refundable.
Transfers: Entries may be transferred to another runner via the official website only, and before the transfer deadline. Unauthorised transfers are strictly prohibited and may result in disqualification or a ban from future events.
Event Day Rules
Participants must follow instructions from all event officials, including race staff, volunteers, medical personnel, security officers, and city officials.
Participants must behave professionally. Urinating or defecating on or near the course is only allowed in designated toilets; violations will result in disqualification.
Race bibs must be worn visibly on the front at all times. Participation without a bib is prohibited.
Unauthorised devices (baby joggers, skateboards, bicycles, rollerblades, etc.) are not allowed on the course.
Participants agree that personal information (including medical details) collected during registration or on race day may be stored, used, and disclosed by UKTC Ltd for event organisation, promotion, administration, and statistical purposes.
The Start
Participants will be assigned starting zones based on their event.
Assembly in the assigned zone is required at least 15 minutes before the start.
Participants attempting to enter the wrong zone will start after all other participants.
Participants must start the event at the official start time and behind the start line.
Course Monitoring
Failure to follow directions from officials, behave unsportsmanlike, or use offensive language may result in disqualification and a ban from future events.
Any participant intentionally shortening the course will be disqualified.
Unregistered participants or those using an unassigned bib or timing device will be removed and banned from future events.
Only registered participants may be on the course; assistance from unauthorised persons is prohibited.
Medical treatment during the event by official personnel does not count as assistance, but participants must authorise sharing of medical information with the event medical director.
Participant Safety
Only authorised course marshals may use wheeled devices.
The River Run follows UK Athletics rules.
Headphones Policy
Runners may wear headphones at their own risk but must remain aware of other participants and emergency instructions. We recommend bone conducting for this race.
Result Timing
All participants will use a disposable chip timing device. Official times are based on gun time; chip time is recorded for mass participants. Missing checkpoint times may result in disqualification.
Merchandise Collection
All race merchandise is collected on the day of the event at the finisher’s tent.
Each participant must present their unique QR code or provide their full name to receive merchandise.
Items cannot be returned or exchanged after collection.
Disclaimer
By participating, entrants agree:
"I declare I will abide by age limits set for the event and UK Athletics rules. I will not compete unless medically fit and understand that I participate at my own risk. I agree that The River Run, sponsors, and partners are not liable for any loss, damage, or expenses arising from my participation. I grant permission to UKTC Ltd to use my name, quotes, and images for marketing purposes. I understand that entry fees are non-refundable except where deferral is permitted, and I accept all terms and conditions."
